Flex plan: Admin overview

Learn about the Flex plan subscription and how to edit roles and permissions.

Subscription types

  • There are three subscription types on the Flex plan.
    • Essentials
    • Advanced
    • Ultimate
  • For a list of features available on each subscription, visit this summary page.
  • If you have questions about your subscription, contact Support or talk to your Customer Success Manager.

Note:

  • If you are switching from the seat-based plan to the Flex plan, any test launched on the account before the subscription switches over will be a part of the original subscription. Therefore, the test will not consume any Session Units.
  • If the test doesn't fill with any participants until after the subscription switches, the test will not consume Session Units. However, if a Creator adds a new participant or replaces a session when the new subscription goes into effect, the session will consume Session Units on the new subscription.

 

 

Licenses/roles

There are three types of licenses you can assign team members.

Creator

  • This role is best for power users and full-time researchers.
  • Create test plans, save tests as templates, launch tests, and edit tests.

Viewer

  • This "read-only" role is best for people who don't need to run tests.
  • View test results, test plans, and drafts; share insights; and create clips and highlight reels.
  • Cannot create, edit, or launch tests or templates.
  • Accounts can have unlimited viewers.

Account Admin

  • This role adds administrative privileges to the Creator and Viewer roles.
  • Add and remove users; assign roles; create workspaces; and set feature and workspace permissions for users.
  • Monitor Session Unit usage and test launch privileges.
  • Accounts can have unlimited admins.

 

 

Edit roles and permissions

  1. Select your initials from the dashboard, then choose Settings.

  2. Go to the People tab.
  3. Select the options menu icon (...) next to a team member's name. Choose View profile.

  4. Set the user's role to Creator or Viewer for the following Platform access permissions:

    Full-feature access for custom test creation
    Quick Answers: Marketing Insight (available on Advanced and Ultimate)
    Quick Answers: Product Insight (available on Advanced and Ultimate)

  5. Edit Workspace ownership and access level, as well as add the user to a workspace

  6. On the Ultimate plan, edit Approval flow settings for each workspace.
  7. View the user's Activity to check last login and total tests created.

Bulk edit roles and permissions

When you select one or more users on the People page, a bulk action modal appears with the following options:

 

 

Update role

 

Essential plan

  • You can set user roles to Creator or Viewer.

  • The number of available Creator roles updates automatically after changes.
  • If you do not have enough Creator seats available, you won’t be able to assign additional users to that role.

  • After a successful update, a confirmation toast appears, and role counts are refreshed.

 

Advanced and Ultimate plans

You can assign roles for platform access features, including:

    • Creator – Full-feature access for custom test creation.
    • Viewer – View-only permissions.
    • Quick Answers (available on Advanced and Ultimate):



  • As with the Essentials plan, a confirmation toast appears upon success, and role counts update accordingly.

 

 

Update Admin status

  • Toggle the admin status for selected users to grant or remove admin privileges.

  • At least one Admin must remain on the account. If you attempt to remove all Admins (including yourself), you will remain an Admin by default to maintain account access control.

  • A success message will appear after the changes are applied.

 

 

Remove from the account

  • Admins can remove selected users from the account in bulk.

  • After removal, the Creator and Viewer role counts are updated automatically.
    • Note: Users cannot remove themselves from the account.

 

 

Remind to join the account

  • Select one or more users who haven’t accepted their invitation and send them a join reminder with a single click.
  • This makes it easy to follow up and ensure everyone gets access.
