About Participant Identification

Use Participant Identification when running studies with your own participants and need to identify who completed each session. This feature is available only for Invite Network audiences and is configured separately for each.

When enabled, participants must provide their email address before joining the study. Once collected, the email address replaces the auto-generated username wherever participant identity is displayed throughout the platform, making it easier to connect sessions to known participants, manage incentives, and follow up after a study.

Important

  • Participant Identification is disabled by default.
  • Once a study is launched, the setting cannot be changed.
  • UserTesting Network participants continue to use auto-generated usernames.

Enable Participant Identification

  1. Open an Invite Network audience from your study settings.
  2. Scroll to Participant identification.
  3. Turn on Ask for email address.


     
  4. When enabled, participants recruited through that audience are required to provide an email address before joining the study.

 

 

Before launching your study

Review your audience settings to confirm Participant Identification is enabled where needed.

  • The Review page, the final step before launching, displays a notification when Participant Identification is enabled for an Invite Network audience
  • If your study contains multiple Invite Network audiences, the setting is configured separately for each
  • We recommend using the same Participant Identification setting across all audiences for consistency

 

 

Viewing participant email addresses
 

Audience summary

The Audience summary displays Participant identification: On when the setting is enabled.


 

Monitor

Participant email addresses are displayed in the Monitor tab.


 

Results

Participant email addresses are included in study results, exports, email notifications, and calendar invitations.

 



FAQ
 

Do all participants have to provide their email?

No. A few things to know:

  • Participant Identification only applies to Invite Network audiences; it is disabled by default
  • When enabled, participants must provide a valid email address to proceed past the welcome page. If the field is left blank or the email format is invalid, an inline error message will appear, prompting them to correct it
  • UserTesting Network participants always use auto-generated usernames and are not affected by this setting

Can I change the setting after my study is launched?

No. The setting locks once a study is launched to prevent inconsistent participant data. Make sure it is configured correctly before launching. If you need to make a change, you will need to create a new study.

Can the same participant complete the study more than once using the same email?

No. If a participant attempts to rejoin using an email already tied to a completed session, they will see a study closed message. If a participant uses a different email address, they will be treated as a new participant and can complete the study again.

Where will the participant's email address appear, and who can see it?

Once collected, the email address replaces the auto-generated username wherever participant identity is displayed. Anyone with access to the study can see it, including:

  • Session Lobby
  • Monitor
  • Results
  • Data exports
  • Email notifications
  • Calendar invitations

If no email was collected, the auto-generated username is displayed instead.

What happens if I have multiple Invite Network audiences with different settings?

A few things to keep in mind:

  • Each Invite Network audience has its own independent setting
  • Some audiences can require email identification while others use auto-generated usernames
  • If the same participant appears in multiple audiences with different settings, their identity may display differently depending on which audience they are in
  • To keep things consistent, we recommend enabling the setting across all audiences within a study

Does Participant Identification work for all test types?

Yes. Participant Identification is available for all test types, including moderated and unmoderated studies, when using Invite Network participants.
