Learn about the Qualtrics integration. Connecting your Qualtrics account allows you to automatically import survey responses into EnjoyHQ.

Connect Qualtrics

Before setting up Qualtrics, you'll need this information:

  • Your Qualtrics account's data center ID (aka DC ID). For more information, refer to Finding Qualtrics IDs in the Qualtrics Support documentation.
  • API Access setting enabled in your Qualtrics account (under the Account Settings menu).
  • OAuth Client Manager setting enabled in your Qualtrics account (under the Account Settings menu).
  • Sufficient user privileges granted to Edit Surveys and Copy Surveys in Qualtrics.

 

After confirming all of the above are met, follow these steps to connect Qualtrics:

  1. In Enjoy HQ, go to Settings > Manage integrations.


  2. Select Qualtrics.

     
  3. Enter the Qualtrics data center ID.
  4. Click Connect with Qualtrics.


    • This will take you to the Qualtrics authentication screen. where you'll be asked to log in to Qualtrics and authorize the connection with EnjoyHQ.


    • After authorizing the connection, you'll be taken back to EnjoyHQ and be able to start importing Qualtrics survey data.

 

 

Select and configure Qualtrics surveys to synchronize

Once Qualtrics surveys are selected and configured, EnjoyHQ will periodically check for new survey responses to import and map the survey responses according to their configurations.

  1. In Qualtrics, click Select Survey.


  2. Choose a survey to synchronize.
    • Up to 100 surveys in your Qualtrics account will be displayed by default.
    • Click the Load More to load additional surveys.


  3. Click Next
  4. View a preview of:
    • The survey responses with placeholder values. Due to limitations with the Qualtrics API, we can't display the most recent survey answers in this preview.
    • The ability to configure how you want the survey data to be imported into EnjoyHQ.


  5. Select the columns that you'd like to import, and depending on the content, EnjoyHQ will suggest what type of mappings you can choose.
    • Each column represents a question in a Qualtrics survey
    • Each row represents a respondent's answers. 

 

 

Map survey questions

When configuring a Qualtrics survey, you can choose which columns to import and how those columns are mapped to EnjoyHQ data constructs. 

 

Import customer profiles

When Qualtrics survey is connected to customer information, you can choose to import the embedded customer data along with the Name and Email, just the Name and Email, or nothing at all.

 

Document attributes

New EnjoyHQ documents will be created for each imported Qualtrics survey response.

  • Content: Appended to the document's body content (preceded by the question title).
  • Tags: Mapped to document Tags. Only multiple-choice questions can be imported as Tags.
  • Properties (text or date): Mapped to document Properties.
    • The Property name will be the question title and the Property values will be the answers.
    • All questions and answers mapped as Properties will be imported as both document body content and document Properties.
    • If the survey question supports "Other" as an optional answer, the verbatim answer will be imported as document body content and the associated document's Property value will be set as "Other".
    • You can choose to use the question title as the Property name, or provide your own Property name to map to existing EnjoyHQ Properties.
  • Sentiment:
    • Imported from rating scale questions and will be inferred from ratings on 5- or 10-point scales.
    • If your rating scale questions do not fit these scales, it might be best to map it as a document Property or Content and use automation Rules to map your custom rating scale responses to Sentiment.
  • Creation Date: Taken directly from the time the survey response has been submitted.

 

Customer attributes

Customer data can be mapped to and merged with existing Customer Profiles in EnjoyHQ. If an existing Customer Profile does not exist for an email address, a new one is created automatically. 

  • Email: Mapped to the Email field of Customer Profiles.
    • Has to be selected to be able to fetch additional customer attributes from Qualtrics.
    • Additionally, if the Import customer profiles option is selected, this value will be used as the fallback.
  • Name: Mapped to the Name field of Customer Profiles.
  • Company Name: Mapped to the Company Name field of Customer Profiles.
  • Property (number, date, or text):
    • Mapped to Customer Properties in Customer Profiles.
    • You can choose to use the question title as the Customer Property name, or provide your own Customer Property name to map to existing EnjoyHQ Customer Properties.

 

Once you have finished configuring your survey, click Import Survey and your Qualtrics survey responses will begin importing shortly.

 

 

Additional considerations

Changes to a Qualtrics survey

If you modify any of the linked surveys within Qualtrics, EnjoyHQ will stop synchronizing their responses as this will affect the survey configuration and mappings. EnjoyHQ will notify you by email if that ever happens.

 

Update or change Qualtrics survey configuration

In case you want to change how a Qualtrics survey is imported, you have two options:

  • Remove:
    • Use the Remove function to completely remove the survey configuration and mapping, as well as any survey data imported so far.
    • This is essentially a reset.
  • Edit:
    • Use the Edit function to edit the current survey configuration and mapping.
    • Once the configuration is updated, only new survey responses will be imported according to that mapping, and survey responses that have already been imported will remain as-is in EnjoyHQ.
