Learn about Workspaces and video security, including how to control access to videos, clips, and highlight reels using workspaces and account-level sharing settings.

Overview

  • Most accounts prefer to share some videos with non-account members, such as management, without requiring them to have a UserTesting account.
  • Some accounts require that anyone viewing a video, clip, or highlight reel be a member of their UserTesting account and log in before accessing the content.
  • The requirements for viewing videos differ depending on account and workspace privacy settings. Viewership is based on the link setting of the individual video, clip, or highlight reel.

    Viewership Settings

      Restrict All Share Links = Off Restrict All Share Links = On

    • Anyone on this account
    • Anyone with the link

    There is only one link setting available:

    • Anyone on this account
    Private Workspace

    All Share Default link setting options are available:

    • Anyone in this private workspace (default)
    • Anyone on this account
    • Anyone with the link

    There are two link settings available:

    • Anyone in this private workspace (default)
    • Anyone on this account
    Hidden Workspace

    All Share Default link setting options are available:

    • Anyone in this hidden workspace (default)
    • Anyone on this account
    • Anyone with the link

    There are two link settings available:

    • Anyone in this hidden workspace (default)

Video-level share settings

  • When sharing assets, the first option in the "Viewable by" menu is the account’s Share Default setting, set under the Security tab in Account Settings.
  • Team members can change the privacy of the link through the "Viewable by" menu options, which apply only to the specific URL of the shared asset.
  • For Open workspaces, the options are:
    • Anyone on this account: Allows any member of your account to view the shared content. Members must be logged in.
    • Anyone with the link: Allows anyone with the link to view the shared content. You don't need to log in.

  • For Private and Hidden workspaces, additional options include:
    • Anyone in this private workspace: Only members of the private workspace can view the content.
    • Anyone in this hidden workspace: Only members of the hidden workspace can view the content.

Notes:

  • Links are persistent and retain the chosen Share Default setting.
  • Notes and clips for shared videos can be viewed by account members and edited by workspace members.
  • To share the asset with someone not on your account, share it by email.
  • You can use typical Slack message formatting, such as @ to tag a user and * for bold text when sharing via Slack.

 

 

Account-Level Share Settings

  • The account admin can set account-level share settings under the Security tab in Account Settings.

  • At the bottom of the page, under Security and sharing preferences, the admin can apply a Share Default setting across all open workspaces on the account.

  • Available settings correspond to those seen when sharing individual video clips.
    • Anyone on this account: Allows sharing of content with any member of your account. Members must be logged in to view shared assets. This is the default setting on most accounts.
    • Anyone with the link: Allows sharing of content with anyone who has the link. You don't need to log in. This setting does not affect private or hidden workspaces, which maintain their default settings.
  • For accounts seeking more control over sharing, the "Require account membership to view assets" option overrides the Share Default Setting and applies to all existing links, even previously shared.
    • With this option off (default for most accounts), Share Default Settings remain unchanged.
    • When turned on, the only available share option for open workspaces is "Anyone on this account." All links will require viewers to be account members and logged in to view assets, including previously shared links.
    • Private workspace members will still be able to share with members of the private workspace or with anyone on the account.

Note: Once turned on, this update cannot be undone. Even if the setting is later changed back to off, existing links remain restricted and continue to require login until their link settings are changed to "Anyone with the link."
